How to Use

  1. Enter the employer's name and address, and upload a logo if you have one. Tick “Remember” only if you want these details kept in this browser for next month; “Forget” removes them.
  2. Fill in the employee's details: name, ID, designation, department and date of joining. Add PAN, UAN and the last 4 digits of the bank account if they apply.
  3. Pick the month, check the days in the pay period and enter any loss of pay (LOP) days. Basic, HRA, conveyance and special allowance are reduced for LOP days unless you untick that option, and the reduced amounts are rounded to whole rupees unless you untick that too.
  4. Enter the earnings and deductions, and add your own rows if you need them. You can let the tool work out PF (12% of basic, with a ₹15,000 or ₹25,000 wage cap, or none) and ESI (0.75%), or type the amounts yourself.
  5. Check the gross pay, deductions and net pay in words in the live preview, then tap Download PDF or Print.

What a salary slip is for

A salary slip (payslip or wage slip) tells an employee what they earned in a month, what was deducted and what was actually paid. People need it for loans, credit cards, rental agreements, visa applications and their income tax return. Under section 50(3) of the Code on Wages, 2019, in force since 21 November 2025, employers must issue wage slips in the form the rules prescribe. The duty doesn't apply to an employer with five or fewer people employed for agriculture or domestic work. Even so, a simple payslip helps a cook, driver or caretaker show their income.

This salary slip generator is meant for small employers and households. It makes a printable payslip. It isn't a statutory register, return or PF/ESI filing, and the employer is responsible for the figures on it.

What a payslip should show

  • Employer's name and address, and the month the slip is for
  • Employee's name, ID, designation, date of joining, and PAN and UAN where they apply
  • Days in the pay period, loss-of-pay days and paid days
  • Each earning (basic, HRA, allowances, bonus, overtime) and each deduction (PF, ESI, professional tax, TDS, advances)
  • Gross pay, total deductions and net pay, in figures and in words
  • How and when the salary was paid. Print only the last 4 digits of the bank account.

How the totals are worked out

Paid days = days in period − LOP days
Fixed pay = monthly amount × paid days ÷ days in period
Gross pay = basic + HRA + allowances + bonus + overtime + other earnings
Net pay = gross pay − (PF + ESI + professional tax + TDS + advance + other deductions)

PF and ESI: the optional helpers

ItemEmployee's shareLimit (October 2026)
EPF (provident fund)12% of PF wages (basic + DA)Wage ceiling ₹25,000 a month from 17 September 2026 (it was ₹15,000). Employers may pay on the full basic.
ESI0.75% of gross wages (since 1 July 2019)Covers employees earning up to ₹21,000 a month (₹25,000 for persons with disabilities)

The EPF ceiling was raised by the Labour Ministry's notification S.O. 5109(E) of 17 September 2026 under the Code on Social Security, 2020. For September 2026 itself, ask EPFO or your consultant how the part-month is treated. The tool lets you choose either cap. Under the labour codes, if allowances make up more than half of total pay, the excess counts as wages for PF and ESI, so a very low basic can push PF up. Employees whose average daily wage is ₹176 or less pay no ESI share, though the employer still pays its 3.25% (esic.gov.in). The tool rounds ESI up to the next rupee and PF to the nearest rupee, so your filing software may differ by a rupee.

Worked example

A shop pays its assistant basic ₹20,000, HRA ₹8,000, conveyance ₹1,600 and special allowance ₹3,400 a month. In September 2026 (30 days) she took 3 days' unpaid leave, so she's paid for 27 days.

LineWorkingAmount
Basic₹20,000 × 27 ÷ 30₹18,000
HRA, conveyance, special₹13,000 × 27 ÷ 30₹11,700
Gross pay₹29,700
PF (₹15,000 cap)12% × ₹15,000₹1,800
ESIGross is above ₹21,000₹0
Professional taxAs per the state₹200
Net pay₹29,700 − ₹2,000₹27,700

With the ₹25,000 cap, PF would be 12% of ₹18,000 = ₹2,160 and net pay ₹27,340. To see the yearly picture, including income tax, use the salary calculator or the EPF calculator.

Tips

  • Professional tax is set by each state, and some states have none. Enter the amount that applies to you.
  • TDS is deducted only if the employee's estimated tax for the year is above zero. Don't guess it.
  • Use Remember only on your own device. It stores the employer's name, address and logo in this browser, never the employee's details.
  • Keep a copy of every slip you issue, and pay salaries by bank transfer or UPI so there's a record.

Frequently Asked Questions

Yes, as a record of what the employer paid, which is what banks and landlords usually want to see. It's only as good as the figures on it and the employer's signature or stamp. It isn't a statutory register, PF/ESI return or Form 16, and the employer is responsible for the figures.

At 12% of PF wages (basic plus DA) for the employee. Many employers cap the wages at the statutory ceiling, which is ₹25,000 a month from 17 September 2026 (it was ₹15,000), so PF is at most ₹3,000. Employers may also pay 12% of the full basic. The employer pays a matching 12%.

Employees earning up to ₹21,000 a month in units covered by the ESI scheme. The employee pays 0.75% of gross wages and the employer pays 3.25%. Employees whose average daily wage is ₹176 or less don't pay their share.

By paid days. Fixed pay is usually multiplied by the paid days and divided by the days in the pay period. For example, ₹30,000 for a 30-day month with 2 LOP days gives ₹30,000 × 28 ÷ 30 = ₹28,000. Some employers divide by 26 or 30 days every month, so set the days in the pay period to match your policy.

Usually not. The Code on Wages, 2019 requires employers to issue wage slips, but it exempts employers with five or fewer people employed for domestic or agricultural work. A payslip is still useful for your staff when they apply for a bank account, loan or rental.

No. The payslip is made in your browser and nothing is uploaded. If you tick “Remember”, the employer's name, address and logo are kept in this browser, and “Forget” deletes them.
