Hiring Manager

Dear Hiring Manager,

Your three paragraphs appear here.

Yours sincerely,

Fits on one A4 page.

How to Use

  1. Under Your details, add your name, phone, email and city. Tick Save my draft on this device if you'll reuse it for other applications.
  2. Under The job, type the job title, company, the hiring manager's name if you know it (otherwise the letter says "Dear Hiring Manager") and where you saw the role. The date starts as today.
  3. Choose a tone (Formal, Confident or Friendly), then press Insert example on each of the three paragraphs to get a starting draft.
  4. Rewrite the examples in your own words and replace everything in [square brackets] with real details and numbers. The tool flags any brackets you missed.
  5. Check the A4 preview, then Download PDF, Copy as text for an email or job portal, or save a .txt file.

Why a cover letter still helps

Most applications in India go through Naukri, LinkedIn, Indeed or a company's careers page, and many of them have a box for a cover letter or a short message. A recruiter who sees 200 resumes for one opening reads that box first. A good cover letter tells them in under a minute which job you want, why you fit and when you can join. This cover letter builder gives you a clean A4 letter as a PDF, a plain-text copy for portals and emails, and example paragraphs to start from.

The three-paragraph structure

ParagraphWhat it doesLength
OpeningNames the role, where you saw it, and who you are in one line2 to 3 sentences
MainTwo or three achievements, each with a number4 to 6 sentences
ClosingYour notice period or joining date, and a thank-you2 to 3 sentences

Altogether that is about 250 to 400 words, which fits on one page with room to spare. The tool counts the words for you and warns you past 450.

Write achievements, not duties

"Responsible for accounts payable" tells the recruiter nothing they couldn't guess from your job title. An achievement says what changed because of you, and a number makes it believable. Use this pattern:

I + action verb + what you did + the result in numbers
e.g. I reduced the month-end closing time from 8 days to 5 by moving our reconciliations to Excel templates.

Numbers can be money (₹12 lakh to ₹20 lakh in monthly sales), time (8 days to 5), volume (GST returns for 40 clients) or quality (95% customer satisfaction). Freshers can use projects, internships and college work: "Built an inventory app used by 3 shops in my area" works as well as any job.

Choosing a tone

The tone picker changes only the example text. It never rewrites what you've typed.

  • Formal suits banks, PSUs, government bodies, CA firms and most traditional companies.
  • Confident leads with results. It works for sales, startups and senior roles.
  • Friendly is warmer and more conversational, for small teams, design, teaching or customer-facing work.

The examples fill in the job title, company and source you typed, and leave [square brackets] wherever only you know the answer. Replace every bracket before you send. Recruiters do notice a letter that still says "[current employer]".

Small details that matter

  • Address a person if you can. The job post, LinkedIn or the company website often names the hiring manager. If not, "Dear Hiring Manager" is fine and is what the tool uses.
  • Mention your notice period. Many Indian companies have 30, 60 or 90 days, and recruiters filter on it. Saying it up front saves a call.
  • Match the job post's words. If the advert asks for "Tally Prime" and "GST returns", use those exact words. Applicant tracking software matches them.
  • Sign-off. "Yours sincerely" is the safe choice. "Regards" and "Kind regards" are common in emails.
  • Leave out your full address. City is enough. Never include Aadhaar, PAN or salary slips in a cover letter.

PDF or pasted text?

Attach the PDF when you email an application or upload documents on a careers page. Use Copy as text when a portal gives you a text box, or when you write to a recruiter directly in an email. Both come from the same letter, so they always match. Pair it with a resume from our Resume Builder, using the same name, phone and email on both.

Your letter is made in your browser and isn't uploaded. It is saved on this device only if you tick the save option, and Clear all removes it.

Frequently Asked Questions

About 250 to 400 words, on one page. That is three paragraphs: an opening, two or three achievements, and a closing with your notice period. The tool counts the words and warns you if it goes past 450.

Write "Dear Hiring Manager". Check LinkedIn or the company website for a name first, since a named person reads better. If you leave the hiring manager field blank, the tool uses "Dear Hiring Manager" for you.

It isn't always required, but it helps. Many portals have an optional cover letter or message box, and a short, specific note makes you stand out from candidates who leave it empty. Use Copy as text to paste your letter there.

Yes. Use projects, internships, college events and certifications as your achievements, with numbers where you can ("built an app used by 3 shops", "scored 8.6 CGPA"). Say when you can join; for freshers that is often "immediately".

Usually no. Leave salary for the interview or the portal's expected-CTC field, unless the job post asks you to state it in the letter.

No. It changes only the example paragraphs you get from Insert example. Anything you've already written stays exactly as it is.
