Formal letters in plain English
Banks, schools, housing societies, municipal offices and HR departments in India still run on written requests. A short, clear letter in the expected layout gets handled faster than a long one. This letter generator has 12 templates written in plain Indian business English. You fill in the details, check the live preview, change any words you like, and download the letter as a PDF or Word file, or copy the text into an email.
The parts of a formal letter
From, (your name, address, phone)
Date: 15 October 2026
To, (designation, organisation, address)
Subject: one line saying what you want
Salutation: Dear Sir/Madam,
Body: 2–4 short paragraphs
Closing: Yours faithfully,
Signature and name
Enclosure: documents attached
Many Indian offices expect the “From” and “To” blocks, the date on its own line and a Subject line. The subject is often all a busy officer reads before deciding where the letter goes, so make it specific: “Request to change address for account no. 12345678901” works better than “Request”.

Example
Asha needs three days off for her sister's wedding. She picks Leave application (office), enters 15 to 17 October 2026, and types her reason as “as I have to attend my sister's wedding in Jaipur”. The tool counts the days and writes the subject “Application for casual leave from 15 October 2026 to 17 October 2026” and the opening line “I request casual leave for 3 days from 15 October 2026 to 17 October 2026, as I have to attend my sister's wedding in Jaipur.” She names the colleague covering for her, downloads the PDF and emails it to her manager.
Tips for letters that get results
- One letter, one request. Don't mix an address change with a cheque book request; banks route them to different desks.
- Give the numbers they need: account number, employee ID, flat number or complaint number. For bank letters, write the full account number, because the branch uses it to find your account.
- Match the closing to the greeting. Use “Yours faithfully” with “Dear Sir/Madam” and “Yours sincerely” when you greet the person by name. Schools traditionally use “Yours obediently”.
- Attach self-attested copies (signed and dated photocopies) of ID or address proof, and list them as enclosures.
- Keep a copy and ask for an acknowledgement: a stamped receiving copy, a complaint number or an email reply.
- Banks often have their own forms for address change and account closure, and may ask for fresh KYC. Take the letter with you, but expect to fill in their form too.
- For complaints, describe what, where and since when, and say exactly what you want done. Photos help: mention them as enclosures.
